Before you begin

What you need before setup.

You don't need everything on day one. Start with what you have — the system will tell you what's missing.

Essential on day one
  • ChatGPT Plus or Team account (chat.openai.com) or Claude Pro / Team (claude.ai)
  • Memory switched on — ChatGPT: Settings → Personalisation → Memory → On. Claude: use a Project (automatic)
  • At least one previous bid response, capability statement or company overview to upload
  • 30–60 minutes uninterrupted for the Installation Wizard

  • Previous tender responses (all past bids, won or lost)
  • Policies: quality, H&S, EDI, modern slavery, carbon reduction plan
  • Case studies with named outcomes, KPIs and client references
  • ISO or other accreditation certificates

The setup steps

Four steps to your first live tender.

Follow these in order. Each one builds on the last. The Installation Wizard does the heavy lifting — you just need to give it evidence to work with.

Create your Bid Command Centre

In ChatGPT, go to Projects → New Project. In Claude, go to Projects → Create Project. Name it: [Your Company] — Bid Command Centre. This is your permanent workspace — keep it separate from everyday chats. This is where your entire bid library will live.

Install the Master System Prompt

Open the tool at Tab 2 — Set Up AI Workspace. Copy the Full System Prompt with one click and paste it into Project Instructions (the settings panel of your project — not a chat). This installs your AI Bid Manager identity, evidence discipline rules and all 12 command keywords.

Upload your documents and run 4 confirmation tests

Upload your company documents to the project library — previous bid responses, capability statement and policies are the priority. Then run the four confirmation tests in Tab 2 Step 4. All four must pass before moving on. If Test 2 fails (the AI invents a number instead of returning [EVIDENCE NEEDED]), re-paste the system prompt.

Run the Installation Wizard

Go to Tab 3 — Installation Wizard. Copy the Master Installation Prompt and paste it into a new chat inside your Bid Command Centre project (not Project Instructions). The AI runs all 16 stages automatically — type PROCEED after reviewing each stage. Allow 45–60 minutes. Do not rush it.
